Guest Photo Distribution Policy

Today’s photo gratification is instant. Everyone can take the photo now and use it right away.

Photographer photos are better and as a guest at an event you want to ensure you catch a photo with the professional too, of course! But once the photo is taken then the question pops up, “ How can I get the photo?”.

Here is your answer:

BEST PRACTICES FOR GETTING YOUR PHOTO AS A GUEST

  1. Ask the photographer IF YOU CAN HAVE THE PHOTO

    • The majority of the time the photographer doesn’t have permissions to share your photo with you. We are hired by a client to perform a service for the client and the photos then become the client’s property. A good rule of thumb is that if you didn’t hire the photographer, reach out to the event host to see the photos.

  2. Don’t reach out on social media

    • Photographers do not have the ability to remember every single face and name of every guest that they have met. They will have no clue who you are and ultimately won’t care to help. They are dealing with multiple projects at once, and a random “ Hey, do you have that photo of me from the event last week?” will not get a response. Again best practice is to follow the event host’s email list and social media to see if they publicly share the images, or to ask the host directly.

  3. Should you gain access to the link, Don’t ask, “ Is this all of the photos?”

    • The answer is always yes. Once the photos have been delivered and approved by the client, that is all. There are no other photos that you will be gaining access to as a guest. Period. Instead try to create a unique photographable moment and personally ask the event photographer to capture a photo of it, then introduce yourself and ask for their business card. Follow up with them the following week ( Not the next day!!) and ask if they have permission to share the photo with you.

Everyone has their own way of operating and all photographers are different. The services contracted also weigh into this factor. For the majority of the events photographed by Timeless Present, we are there to gather marketing materials, showcase, or document the event for the client and that is where this perspective comes from.

Timeless Present Photography’s Policy For Photo Distribution For Events

  • A private gallery link is delivered directly to the client, the client is then responsible for gallery distribution.

  • Any and all photo requests from anyone other than the client is denied. You will be redirected to contact the event host. The host contact details will not be given out.

The best way to make sure you get your photos from an event is to be memorable. The more interactions with the camera and the person behind it the better your chances are of getting the photos. If the photographer can recognize who you are by the end of the night they can pass your request along to the host and that significantly increases your chance of receiving those photos.

As a photographer, I can personally say that I want you to have the photos! They do me no good sitting on my hard drive when they could be posted on your social media, shared with your friends, and bringing a smile to your face. Photo rights are the trickiest and most complicated because the photographer, the person hiring the photographer, and the person in the photo all make up the collaborative work of art. This gives 3 people different levels of rights to the photos depending on the scenario. These policies and practices are to keep everyone safe, happy, and ready to party again in the future.

HOT TIP

The best way to get photos as a guest. Make it a game! Play a game throughout the event to see how many times you can pose for the camera. The more times you connect with the photographer the better your chances are of them remembering you & then they can put in a good word with the host to make sure you get your photos.

Guests understand they are at an event in public which is being photographed, and their voluntarily participation in that event gives photographers the right to photograph them and use those photographs for their publicity.
